Grade Grievance (When a student is concerned about his/her final course grade)
The District made a significant change to the student grade grievance process effective Spring 2007. In response to this change and with your input, I have established an initial process to determine the validity of any student grade concern. This process is posted on our division web site under Division Student Resources – Grade Grievance. Here’s the link: /ap/sbs/StudentResourcePage.html and scroll down to “Grade Grievance.”
Here’s the process for you as administrative assistants.
- Whenever a student is concerned about a course grade, the student MUST wait until the final course grade is posted on MySite. We are not in the business of working with students to negotiate for grades.
- After the final grade is posted on MySite, the student MUST contact and work with the instructor to resolve his or her grade concern on an informal level.
- If a student is unable to resolve his/her grade concern through the instructor, the student MUST complete the Student Grade Concern form. To access the form, please click here.
- Any completed Student Grade Concern forms must be completed by the student and submitted to me within 45 days of the course grade posting on MySite.
- Based upon the completed Student Grade Concern, I will handle the next steps toward grade resolution.
Faculty Concerns (When a student is concerned about the conduct of his/her faculty member.)
When a student believes that he or she has a valid concern or complaint about a faculty member, the student should make every effort to resolve this concern or complaint directly with the faculty member on an informal level. However, if a student feels harassed or discriminated against by the faculty member or if his/her initial concern or complaint remains unresolved, the student may complete the form titled Summary of Student Concern and submit this form to the Division Dean, Dr. Flanigan.

For issues specific to a grade concern, the student must following the internal grade grievance process.
Security Procedure for Textbooks
For the safe delivery of textbooks to faculty once these textbooks have been delivered to the Village 7 mailroom, the division staff will follow this process.
- Textbooks will be hand-delivered to the cubicles of all full-time faculty members with office space in Village 7.
- Most textbooks will be packaged and labeled with the faulty's name and date. The textbooks will be placed under lock and key in the division office area - Village 7.
- Faculty will receive a notification of a textbook arrival in the division mailbox and instructed to immediately ask Sue, Cyn, Michelle, or Patti for the textbook package.
- Given limited storage, any textbook delivery will be remain in the division office area for one month from the date on the textbook package label. To access the textbook notification form, click here.

Give the Outlook procedures to all faculty/ associate faculty members wishing to input their textbook order on the new Textbook Order form.

Contact Information for Division Employees
Occasionally, you will receive requests from faculty for personal telephone numbers of their colleagues or former colleagues.
Please follow this procedure:

Do not give personal telephone numbers out to anyone.

Simply get the contact information of the person asking for the number and tell that person we will immediately notify the other with the contact information.
- If the person in question no longer works for us, please refer the person asking to Human Resources.
