Adviser Information
Adviser Guidelines
Adviser Requirements Club advisers must be a currently employed full or part-time faculty or full-time staff member of Saddleback College and able to fulfill the responsibilities of the adviser.
Adviser Responsibilities
1. Advisers are required to attend and supervise the functions and special events of their clubs in their entirety, i.e. “first in/last out.”
2. Advisers shall be familiar with the College's policies and rules that govern student clubs.
3. Advisers are expected to ensure that their club adheres to the policies and rules of Saddleback College, the South Orange County Community College District as well as obey local and state laws.
4. Advisers should be familiar with the constitution and by-laws of their club and the Associated Student Government of Saddleback College and be prepared to render assistance with their interpretation.
5. Advisers of “Member Clubs” (as outlined in the Club Categories section) should ensure that a club representative attends the Inter-Club Council (ICC) meeting that is held the first and third Tuesday of each month at 2:00pm in the Student Lounge (SSC 212).
6. Advisers should be available to meet with club officers and/or members when they request help.
7. Advisers should meet regularly with executive officers of the club for the following reasons:
§ to assist with the planning of club events and fundraisers
§ to discuss club goals and directions
8. Advisers must be present for the discussion and voting for use of club funds; Advisers also need to make sure copies of meeting minutes are recorded and filed with the Student Development Office for these meetings.
9. Advisers are invited and welcome to contact the Student Development Office (x4290) for assistance with any questions and/or problems, or to discuss club status that may be of interest or importance to the college.
10. Advisers of clubs who wish to have off-campus events or to travel must meet with the Student Development office. Student Development will no longer make such arrangements with student members.
Club Adviser Event Responsibilities Club Advisers should allow student officer maximum freedom and responsibility in planning and operation of all events; however, it is the duty of the faculty Adviser to see that all responsibilities are met and the events are carefully planned. The Adviser should be informed of all plans being made and be responsible for the following:
1. Advisers must be present for all events Monday thru Thursday after 6:00p.m., Friday after 12:00p.m., all weekend hours and events held off-campus at any time.
2. The Adviser is responsible for reviewing and approving all financial transactions.
3. Advisers should meet consistently with club members when planning an event to make sure that the club is prepared to hold each event they plan.
4. It is the responsibility of Advisers to prohibit the use of intoxicants by students during any event sponsored by the college. Students failing to cooperate should be reported to the Vice President of Student Services.
5. In case of injury to students during any college event, it is the responsibility of the Adviser to see that first aid is given and that medical aid is secured, if necessary. Unusual occurrence reports must be submitted to the college.
NOTE: EVENTS NOT APPROVED BY THE STUDENT DEVELOPMENT OFFICE ARE NOT COVERED BY DISTRICT INSURANCE.
Club Adviser Guidelines and Advice
1. It would be advantageous for Advisers to accept a position with a group whose interest parallel their own.
2. Advisers should attempt to learn the names of organization members as quickly as possible.
3. An individual assumes an Adviser's role voluntarily; however, even though serving as a volunteer, they are expected to uphold the best interest of the college.
4. Advisers should not hesitate to engage in the general discussion of organizational matters at meetings; however, normally they should not dominate discussions or become the focus of attention.
5. The effective Adviser is one who will render advice when it is requested, and offer counsel even though it may not have been requested.
6. Advisers should not hesitate to provide constructive criticism when it is deemed necessary; likewise, positive club accomplishments should be appropriately acknowledged.
7. At times, Advisers must be willing and prepared to tell their group that what it is doing, or planning to do, is wrong or inappropriate.
8. Advisers will be called upon to serve as a personal confidant in organization-related matters. This is a particularly sensitive role. The Adviser, most likely, will want to provide assistance to the person seeking advice (usually in regard to a problematic situation), however, the Adviser cannot compromise their relationship with the group by showing favoritism to one or a small group of individuals.
9. Advisers can expect to be asked to serve as a counselor by individuals with personal problems unrelated to their organizational affiliation. It is up to the Adviser to choose how to handle these situations, keeping in mind that they must maintain the same professional posture that they should take when dealing with any student. It is recommended to escort the student to the Health Center for counseling if necessary.
10. The voluntary association between Advisers and their respective groups should continue as long as both parties believe the relationship is productive and mutually satisfactory. When such a relationship no longer exists, the Adviser should resign.
11. If a club has more than one Adviser, it is important that both of them are working together and aware of what the other is doing at all times. If the Advisers are not working together, the club may become divided and ineffective.
12. Advisers should realize that interest, imagination and enthusiasm are wonderfully contagious.
13. Individuals should not accept an invitation to serve (or continue to serve) if they are not prepared to fulfill the expectations of Advisers.
