At
the end of the semester, there are a series of steps we encourage
you to take: |

1: Make Your Course Unavailable: |

Step
3: Archiving Your Course: |
Before
you begin archiving, you should make your course unavailable to your
students. This will prevent any changes to the data or conflicts that
may occur if a student is adding/deleting content (e.g., Digital Drop
Box, Discussion Board, Online Quiz) while you are archiving.

Archiving
your course is the same as making a backup of your course and storing
the backup file(s) on your own local hard drive, floppy disk, Zip
disk, or CD. It is always a good idea to keep a backup of important
data and information. (in case of a grade dispute) Archived course
files can be restored by the Blackboard Administrator. |

Go to the Control Panel.
- Click
on Settings (found under Course Options).
- Click
on Course Availability.
- Select
No and click Submit.
- A
receipt will appear confirming that your course is unavailable.
Click OK.

- From
the Control Panel click on Archive Course (found under Course
Options).
- A
screen will appear displaying the Course ID of the course you
wish to archive. Click on Submit.
- After
a few moments of processing, you will be presented with a receipt
and an opportunity to download your archived course.
- Click
where it states:
"Click the right mouse button and select SAVE AS or Click
onthe link above to download the package file."
- A
Download File Dialogue Box will appear. Click Save to continue.
- Select
a location for your archived course.
- The
suggested file name includes ArchiveFile w/courseID in a zip file(compressed)
for easier recall.
- Click
Save to complete the download process.

Necessary only if you use the Gradebook feature.
Keeping
a copy of your Gradebook is a good idea for backup and archival
purposes because once students are removed or "un-enrolled"
from a Blackboard course, their grades are also removed from
the Gradebook. |

Recycling
your Blackboard course enables you to reuse your course by
selectively removing areas of the course, (such as students
who were previously enrolled in the course and their grades),
while preserving other areas of your course, such as the course
content and question pools.
Note:Before recycling any portion
of your course, be sure to archive your entire course to store
a permanent record. Information removed during recycle CANNOT
be recovered..

- From
the Control Panel click on Gradebook
(found under Assessment).Click on Download Grades.
- A
new screen will appear asking you to select a delimiter.
Select Comma and then click Submit.
- After
a few moments of processing, a screen will appear with directions
for downloading the gradebook. Below the directions click
on Download.
- A
Download File Dialogue Box will appear. Click Save to continue.
- Select
a location for your gradebook.
- Use
the default file name which reflect the year and semester
and course ID (20061_ticket#).
- Click
Save to complete the download process.
- Click
OK to continue.

- From
the Control Panel screen under the COURSE OPTIONS category,
click on RECYCLE COURSE.
From
the Recycle Course screen, select only the areas
you wish to clear or remove by clicking in the box next
to the area. At a minimum, you should recycle "Users."

Users: All users, except the instructor, currently enrolled
in the course. If you plan to reuse your course, this is
one of the most important items to recycle.
Note:
If you do not recycle this area, you will have students
enrolled in your course and listed in your Gradebook who
have already completed the course. Caution:
Recycling the "Users" also removes the users'
grades from the Gradebook. This includes students who may
have taken an incomplete and need to finish their coursework.
It is very important that you export the Gradebook, as described
in Step 2, before recycling the "Users". Retaining
a copy of the Gradebook by exporting it to your local computer
insures that you will have a copy of the students' grades
once recycling removes them from the system.
Caution: Recycling your assessment will remove
all quizzes as well as the question pools that you have
created. If you plan to reuse quizzes
and/or pools, do not recycle the
Assessments. You will have to recreate all quizzes and question
pools from scratch if you do.
- In
Part 3-Submit, type the word "Remove"
with a capital "R" in the text box and click the
Submit button.
